Job Description

Overview
This position is a hands-on role in event preparation and execution. Reporting to Sales department & Operations department to provide assistance both administratively and through physical execution of tasks related to catering and event planning services. This position is for a hardworking, flexible and enthusiastic self-starter who has a passion for learning multiple aspects of event design, food presentation, brand building/brand management, and operations. Responsibilities include inventory and oversee maintenance of FOH & BOH supplies and equipment. Working with multiple departments, keeping the warehouse and property clean, safe, well stocked and organized. Administer operational logistics and planning needs as well as maintain organization and updates of department paperwork. Execution of delivering catering and event services such as, assist in kitchen facility as needed, assigned errands such as rental pick-ups and returns, preparing documents for events, expediting of events, attendance and participation in production meetings. This role is to assist Managers and Sales with venue walkthroughs, executing floor plans, coordinating onsite vendor activities, handling oversight of catering and rental equipment, managing onsite staff, and expediting event timelines. 

Job Duties

  • Assist in coordinating event logistics and verify event details 
  • Tour venues when appropriate, compile and send important notes and logistics to Event Manager
  • Build event manager binders, floor plans and logistic notes per event specifics
  • Timely communication with colleagues and managers
  • Assist as an on site client liaison responsible for ensuring quality of service and management of client expectations. 
  • Manage and organize beverage and serviceware inventories 
  • Assist in delegating tasks for onsite staff, including monitoring schedules and breaks, and administering and submitting staff timesheets
  • Creating packing lists and packing event equipment for upcoming services
  • Design dynamic buffet maps and update BEOs & packing lists accordingly
  • Attend weekly production meetings
  • Clean and maintain organization of the EXPO area. Work with BOH and Operations to improve and update EXPO process 
  • Prep EXPO area and trucks with coolers of ice, updated BEOs and packing lists, aggregate highlighted items from packing list, pull hot boxes and warm
  • Create floral displays for client events
  • Create, update and inventory floral ice inventory for private and wedding events
  • Update and add to decor elements in FOH inventory
  • Loading and unloading catering vehicles and general organization of facility and equipment
  • Assist with onboarding and training of front of house team members, including but not limited to, event pack outs and event stylization
  • Expedite for service/assisting to ensure Event Managers leave for venue on time
  • Train new Event Manager and facility team members on expediting procedures and processes
  • Other duties as assigned

Qualifications

  • 1 year experience in a catering and/or event planning company.
  • College degree preferred or equivalent experience
  • Hospitality experience 
  • Excellent verbal and written communication skills are required
  • Polished appearance, manners, professional demeanor, and respectful approach
  • Highly organized and thrives under pressure
  • Maintains a calm demeanor in stressful situations
  • Ability to problem solve and demonstrates a sense of urgency to complete tasks
  • Excellent organization and time-management skills
  • Possess leadership skills with strong attention to detail
  • Must be able to carry loads greater than 50 pounds, and transport up to 70 pounds regularly 
  • Must be available days, evenings, holidays, and weekends as needed
  • Valid Driver's License and clean driving record
  • Servsafe required 
  • Proficient in Google interfaces and Microsoft Office: Word, Excel, Outlook
  • Is able to command a room, give clear and concise directives and lead a team to success
